Data Retention Policy

0Purpose

  • This Data Retention Policy describes how HuskyVoiceAI (AppEQ Inc. and/or its affiliates) retains and deletes Customer Personal Data in connection with the provision of its AI voice automation services.
  • This Policy applies to call recordings, voice transcripts, call metadata, workflow data, audit logs, backups, and AI inference processing artifacts. This Policy is aligned with HuskyVoiceAI's Data Processing Addendum (DPA) and Security practices.

1General Retention Principles

HuskyVoiceAI follows the principles of:

  • Data minimization
  • Purpose limitation
  • Storage limitation
  • Secure deletion
  • Region-aligned data handling

Personal Data is retained only as long as necessary to:

  • Provide Services
  • Meet contractual obligations
  • Comply with legal requirements
  • Support legitimate operational needs

2Data Categories & Retention Periods

This section outlines the specific retention periods for different types of customer data managed by HuskyVoiceAI.

Call Recordings

Storage Location

AWS S3 (Mumbai region by default)

Active Account

Retained during the active subscription for up to 12 months, or for a shorter period if configured by the Customer.

Post-Termination

Deleted within 60 days after termination of Services.

Backup Purge

Deleted from backups within 90 days.

Telephony providers do not store call recordings on behalf of HuskyVoiceAI unless expressly stated otherwise by the relevant provider.

Voice Transcripts

Storage Location

MongoDB Atlas (Mumbai region)

Active Account

Retained during the active subscription for up to 12 months, or for a shorter period if configured by the Customer.

Post-Termination

Deleted within 60 days after termination of Services.

Backup Purge

Deleted from backups within 90 days.

Call Metadata (CDR)

Includes:

  • Call duration, timestamp, call status, phone numbers, routing identifiers
  • Related operational metadata

Active Account

Retained during the active subscription for analytics, billing, support, reporting, and service operations, for up to 12 months unless a longer period is required by law, contract, or a documented operational need.

Post-Termination

Deleted within 60 days after termination of Services, except where retention is required for legal, regulatory, billing, fraud prevention, or dispute-resolution purposes.

Telecom providers may independently retain routing and related metadata in accordance with their own legal or regulatory obligations.

Workflow & Configuration Data

Includes:

  • AI prompts, routing rules, automation logic
  • Agent configurations, account settings, integration settings
  • Related service configuration data

Active Account

Retained for the duration of the active subscription.

Post-Termination

Deleted within 60 days after termination of Services.

Backup Purge

Deleted from backups within 90 days.

Audit Logs & Access Logs

Includes:

  • Administrative access logs, security event logs, authentication events
  • System access records, compliance-related logs

Retention Period

Retained for up to 12 months for security, audit, and compliance purposes.

Deletion

Automatically purged after the applicable retention period, unless required for an active security investigation, legal hold, or compliance matter.

Application Logs

  • Application logs may contain limited operational metadata such as error traces, request identifiers, and non-content operational logs.
  • Logs are retained for up to 90 days unless required for security investigation. Transcript content is not intentionally logged in application logs.

AI Inference Processing

  • HuskyVoiceAI utilizes third-party AI providers for real-time processing. Processing may occur transiently outside India depending on provider configuration.
  • AI inference providers may retain limited request-response data for abuse monitoring in accordance with their policies.
  • HuskyVoiceAI does not use Customer data to train public AI models without explicit agreement. Persistent storage of transcripts occurs only within HuskyVoiceAI's infrastructure.

CRM Synchronization Data

  • Where CRM synchronization is enabled as part of service functionality, only relevant account-level updates and call status data are synchronized.
  • Data retention within the CRM system is governed by the CRM provider and Customer configuration.
  • CRM sync data is deleted upon account termination in accordance with contractual terms.

11Account Termination

Upon termination of Services:

  • Customer may export data prior to deletion
  • Primary data deleted within 60 days
  • Backup data purged within 90 days
  • After deletion, data is not recoverable
  • Deletion timelines may be extended only if legally required

12Inactive Accounts

  • If an account becomes inactive but is not formally terminated, data remains stored in accordance with active retention policies.
  • HuskyVoiceAI may provide notice prior to archival or deletion due to prolonged inactivity.

13Legal & Regulatory Hold

HuskyVoiceAI may suspend deletion where required to:

  • Comply with court orders
  • Respond to lawful government requests
  • Fulfill statutory obligations

Once the legal hold is lifted, deletion resumes in accordance with this Policy.

14Backup Management

  • Backups are encrypted and stored within the same region as primary infrastructure
  • Operate on rolling retention cycles and fully purged within 90 days
  • Backups are not used for operational processing except disaster recovery

15Secure Deletion Methods

HuskyVoiceAI employs:

  • Logical deletion and encrypted storage
  • Secure object removal procedures
  • Database record deletion and backup purge cycles
  • Periodic review of deletion processes

16Changes to This Policy

HuskyVoiceAI may update this Policy from time to time.

Material changes will be communicated in accordance with contractual obligations.
